Kick off coordination meeting
Venue : Mid-Norway office, Avenue Palmerston 3, Brussels 1000

Minutes
3rd November 2016
Outline of the VISConti project at final stage
Links and bridges between the VISConti and UPPScience projects:
- technological development of now augmented platform : this will be dealt with in the break out sessions later on in the meeting.
- community within the school and the engagement of externals into the community : the change in partnership from VISConti to UPPScience consists in the removal of two partners ( due to the wish of the coordination team to involve direct beneficiary schools rather than dissemination / multiplier partners ) and a new pool of VET schools.
- VISConti and UPPScience in numbers : VISConti produced all the outputs some on time and some with some delays but with partner wide involvement however lessons learnt will be used for the UPPScience experience and these result from the external evaluation and internal CoP observatory that both seem to focus on the need for a longer period of time for the CoP to mature.
UPPScience : concept and general plan
UPPScience and the publishing aspect have a history.
2009-2012 There was SEEP Network (Comenius) for teachers of science and schools on new ideas sharing etc. and areas of difficulty were identified when it comes to readiness for sharing. There was however a recommendation at the end of the project that there may be a Community of Practice to structure sharing and exchange in STEM and IT. This is what was behind the startup idea of VISConti Project.
2010-2013 There was RICK'S cafe Network (Comenius) in which there was an experimentation related to publishing of mini papers by teachers and this at times took the form of publishing of narratives as well. The experiment was successful and hence the element of publishing in UPPScience as a further experimentation and development on top of the positive experience.
2014-2016 There was the VISConti project that set up the Community fo Practice.
2016-2019 There is the UPPScience project that will extend the CoP started up in VISConti with a new enlarged population and new form of experimentation in publishing and sharing of mini research papers.

Intellectual Outputs
The partners present were taken through the Intellectual Outputs that will need to be produced by the UPPScience project.
CIPFPM, Akdeniz, NTNU and ValIda will be the partners that will take care of this IO. The work consists of two roles namely that of acting as setting of policy regarding content and form of papers that can be published in the UPPScience CoP and also act as editing board of the CoP with a strong orientation on quality, homogeneity and publishing.
Later on in the meeting the partners will work on the format of papers so that AMRA and Ecaterina can have full information on functions required by the new digital online infrastructure of the UPPScience platform.
The Community of Practice will have structured activities and the start up meeting intends to set the project activities timetable to ensure a smooth development and passage from the CoP in VISConti time and in UPPScience time.
It was discussed and indicated that the new partners in UPPScience will be engaged in using the platform earlier than the mobilities are planned as well as have them try out the tools on submission and sharing of projects. This will make the new partners familiar with the dynamic of a CoP as well as engage them earlier in the project in a constructive manner.
AMRA will work with Ecaterina in the development of the design for the extended platform with new tools required. This design start up work can start earlier than predicted in the project timetable.
Later on in the meeting there will be a break out meeting so that there may be an identification of what the platform needs to do and how there can be a smooth transition between VISConti and UPPScience.
Ecaterina will work with AMRA in the implementation of the extended platform with the new tools required. The discussion was also about the need for involvement of teachers so that students engaged in the project implementation can be better followed and supported.
It was also discussed that it could be better if an extra meeting be held between AMRA, NTNU and Ecaterina towards the end of January 2017 to establish a team and more / better continuous liaison between AMRA and Ecaterina.
There was an observatory in VISConti that contributed to the Recommendations.
This time the leader of the Observatory will be a partner that was not in VISConti and this is to extend the experience to more partners and exploit the good profile of IPP of Porto.
The output is the result of the work that will take place in the CoP including a major contribution of content from the training mobilities of the partners.
The idea is that all participants in the mobilities prepare for research activities and carry out field work before the mobilities and then produce content and form during the mobility under leadership of training partners in the mobilities CIPFP, ValIda, Akdeniz and NTNU.
Here there was mention of the importance of the mobilities being well prepared to guarantee benefit and results.
The role of Ambassadors of Change in the project was mentioned as being key role in the project because this is a role intended for dissemination within the partner organisations as well as preparation for the mobilties.
This output will be the result of joint work of partners in the Observatory of the CoP as well as from the partners in general.

Mobility plans
This is the mobility plans according to the project proposal.
Mobilities are spread out according to best logistical possibilities to reduce distances and form national clusters.
It was mentioned that in UPPScience there will be a need for adherence to mobility plans to ensure spread and planning way ahead of mobility days.
The format of the training days were discussed that there will be a mix between training and mentoring so that participants can draw maximum benefit from the training activities.

Breakout sessions

Digital Infrastructural requirements for UPPScience : Platform

AMRA, VisMedNet, Med Export, CEEI Burgos, Ecaterina and Stucom went through the platform functions from the VISConti functions and identified what tweaking will be required so that there can be a smooth growth of the CoP and then also the introduction of the new tools required for publishing.
This activity would then be continued in the second day when there would be a cold run of the new platform for UPPScience.

Format requirements for research papers that will be published in UPPScience

NTNU, Akdeniz, ValIda and CIPFPM went through all the form requirements for the research papers in order that there may be homogeneity, professionalism and adherence to international standards.
Notes on format of papers:

Abstract as route into bridging - 50-150 word summary in both languages - native and english
Specify format, Times Roman 12pt, APA referencing etc
3-5 keywords
Paper - max 3000 words
Introduction paragraph -d who are/relationship to stakeholders, then scientific background/literature, aim of study and methods (not compulsory), research question - related to stakeholders - findings and results, impact on stakeholders, dissemination/sustainability, references - but relatively small number and wide range of possible sources
Does the topic address a topic of interest to someone other than the researcher?
what is the target audience?
Does the work plan make sense? Is the method appropriate?
Data - where is it? What form is it in?
Is there a relationship between data, findings/results and the research question?
What is the impact produced by the study?
Language - should be understandable by the target audience, not too academic.

Budget and Financial Administration

At this point it was decided that mobility tool will be updated right after or during the mobilities to facilitate reporting.
Project management guidelines are work in progress by NTNU.
4th November 2016
Cold run of new features of platform
All the partners went through all the process from registration of profile in the new CoP through all the submission, peer review and publishing process until it was clear that AMRA had all the picture and requirements for the design of new CoP platform.
Discussion included filters, exchange and alert system as well as ISBN number for publications.
The requirements will be translated into the design of the new platform.
